How to record an interest
An interest records that a customer wants a specific highly sought-after piece. This can be a limited edition, an allocated item, or any other piece that is hard to get. An interest helps you keep a record of who wants what. As the number of interests increases, your store can see which customers want each sought-after piece. Your store can then contact these customers at the correct time. When one of these pieces becomes available, you already have a record of who asked for it.
When to record an interest
Section titled “When to record an interest”Record an interest each time a customer wants one of these hard-to-get pieces. This can be a limited or allocated product, or any other product that your store tracks interest for. If you show products and the customer wants one of these pieces, you can record the interest directly from the presentation. See How to record a presentation.
Recording an interest
Section titled “Recording an interest”-
Choose the customer. Start a new interest and attach it to the customer. If the customer is not in Lychee yet, add the customer first. See How to add a customer.
-
Choose the product. Select the product that the customer wants. You can record interests only for products that your store opened for interest. These products are the hard-to-get pieces that your store tracks demand for. If a product does not show, the product does not accept interests. Ask your administrator.
-
Add a note. (Optional) Record any useful detail. Examples are a size or variant, why the customer wants the piece, or how soon they hope to get it.
-
Add colleagues. (Optional) Add each colleague who must get updates about this interest. Lychee sends a notification to these colleagues, and they can follow the interest.
-
Save. Lychee now records that the customer is interested in that product.
Each customer can have only one interest for each product. If the customer already has an interest in that exact product, Lychee shows you the existing interest. Lychee does not create a duplicate.
What happens after you save
Section titled “What happens after you save”When you record the interest, the process starts. It does not end there. A new interest has the status Received. It stays in this status until one of these pieces becomes available. Then a piece can be allocated to your customer. This means that the piece is on hold for that customer only.
This step is your responsibility. An allocated piece stays on hold for a limited period only (48 hours by default). During this period, you must contact the customer. Confirm that the customer still wants the piece. If you do not confirm in time, Lychee releases the piece and offers it to another customer. The interest puts your customer on the list. Your action after the allocation is what gets the piece to the customer.
To make this difficult to miss, your store can set Lychee to create a task for you immediately when an interest is allocated. The task is a reminder to contact the customer. It shows the customer and a due time. Do these tasks quickly. See Work your tasks.
An interest moves through Received → Allocated → Accepted → Fulfilled. At any point, it can also become postponed or canceled. For the full description of how allocation occurs, see How interest allocation works.
