Configure the interest list
Sales associates use the interest list to record which customers want a product that is difficult to get. See How to record an interest. When stock arrives, the interest list can also keep pieces for those customers automatically. See How interest allocation works. You configure the interest list in two locations: the business-wide settings for the interest list, and a per-product setting on each product.
Business-wide settings
Section titled “Business-wide settings”Under Settings → Applications → Interests:
- Prefix — the code at the start of each interest number. The default is
INT, which gives numbers such asINT-0042. - Auto-Cancel Allocated Interest after — how long Lychee keeps a piece for a customer after the interest of that customer is allocated. After this period, Lychee cancels the interest and releases the piece. The default is 48 hours. Your sales associates have this period to contact the customer.
- Access Control — who can see interests. The options are everybody with interest access, or restricted to the carbon-copy lists and distribution lists on each interest.
- Limit interests to specific products — off by default. Turn it on to accept interests only on a list of products that you select. When it is off, Lychee accepts interests on all products.
- Allocation order — the sequence in which Lychee gives pieces to interests during auto-allocation. The options are the manual position in which you arrange the interests (the default), or the time when each interest was recorded.
The page also holds the email and push templates for each interest notification (recorded, allocated, accepted, and others). Each template has a default that operates correctly. Edit a template only to change its words.
Who gets notified
Section titled “Who gets notified”The distribution lists on the Interests page control who gets an email when an interest is recorded or updated. Each list is a set of groups. Optionally, you can filter a list to include or exclude specified brands. Thus, the team of a brand can get copies of the interests for their brand only.
Open a product to interests
Section titled “Open a product to interests”You set two things on the product itself, in its queue: whether the product accepts interests, and whether it allocates automatically.
- Interest List is Open — on by default. Sales associates can record interests for the product.
- Auto-Allocate Interest List — off by default. Turn it on to make Lychee keep arriving pieces for interested customers automatically when new stock of the product arrives.
- Replenish — records how many pieces of the product arrived. When auto-allocate is on, this action starts the allocation. For the next steps, see How interest allocation works.
Give sales associates a follow-up task
Section titled “Give sales associates a follow-up task”Lychee keeps an allocated piece only for the auto-cancel window. Thus, it is important that the sales associate acts in time. Lychee includes a Confirm Allocation task. Lychee creates this task when an interest is allocated. The task tells the sales associate to contact the customer. But the task is off until you enable it.
