Set up locations
Locations are where you sell. A location connects the brands that it sells and the groups that work in it. Lychee uses this connection frequently. It uses the connection to find these items:
- The store that a sales associate belongs to.
- The products that a sales associate can see.
- The letterhead that Lychee puts on a document.
- The store name that Lychee writes on the documents of a customer.
You find locations in Settings → Business → Locations. The business owner can use this page. Users who have a location permission can also use it.
Before you start
Section titled “Before you start”A location refers to brands and groups. Thus, create brands and groups first:
- Set up brands: the brands that a location sells.
- Set up groups: the groups whose members work at the location.
Add a location
Section titled “Add a location”Open Settings → Business → Locations and select Add. A location has five fields:
- Name: The internal name. Your team knows the location by this name.
- Display Name (optional): The name that customers see. Lychee uses this name when it names a location on documents and emails that it sends. If you leave this field empty, Lychee uses the internal name.
- Brands: The brands that this location sells. Search for each brand and add it.
- Groups: The groups whose members work at this location. These groups supply the staff of the location.
- Store Address: The street address. Lychee validates the address when you select it. Lychee uses this address as the “ship from” address when no other address applies. Lychee also uses this address to keep the sales tax rate of the location up to date.
Select Save. Then open the location again to add Letterheads. Add one PDF for each brand. Also add one Default letterhead. Lychee uses the Default letterhead for each brand that has no letterhead. You can attach letterheads only to a saved location. Thus, the section appears only when you open the location the second time.
Location preferences
Section titled “Location preferences”At the top of the Locations page, two settings control how Lychee uses the data that you entered.
Default Location Name
Section titled “Default Location Name”When Lychee names a store on a document or an email, it must select one of your locations. It uses the sales associate and the related brands to make the selection:
- If the sales associate belongs to exactly one location, Lychee names that location.
- If not, and exactly one location of the sales associate sells the related brands, Lychee names that location.
- If neither condition is true, Lychee uses the Default Location Name. If you did not set a Default Location Name, Lychee uses your business name.
A business with one store can ignore this setting. Your business can have several stores, and your sales associates can work at more than one of them. In that case, set a neutral name that is clear to a customer. Lychee uses this name when it cannot identify one store.
Filter Products by Location/Brands
Section titled “Filter Products by Location/Brands”This setting is off by default. When you enable it, sales associates see only the products from the brands that their locations sell. Lychee removes the products of other brands from search, interests, and orders. The business owner always sees all products.
Enable this setting when your stores sell very different sets of brands. It prevents a sales associate from offering a product that their store cannot sell. This setting uses only the two connections that you made. No user sees the products of a location with no groups. A sales associate who is in no group sees no products. Examine these connections before you enable the setting.
What this feeds
Section titled “What this feeds”- Presentations. Lychee finds the store of a presenter with the location rules above. See Configure presentations.
- Products. The brand and the location together control who can see which products.
- Documents. Lychee selects letterheads and store addresses for each location. In a location, it selects them for each brand.
